Terms & conditions
Last updated 4 September 2026
These terms cover your booking with TrexHive. Please also read the privacy notice, which explains what we do with your details.
1. Who you are contracting with
TrexHive is a marketplace. Treks are organised and operated by independent trekking organisations (“organizers”), not by TrexHive.
When you book, you enter into two relationships:
- With TrexHive — for the booking, the payment and your account.
- With the organizer — for the trek itself: the transport, the guiding, the food and the safety of the departure.
TrexHive sells you the trek. We buy the departure from the organisation that runs it and sell it to you in our own name, so your contract for the trek is with us. They run it — the transport, the guiding, the food, the safety on the mountain — but you do not have to work out which of us to approach. It is us.
Payment is collected through Razorpay, an RBI-authorised payment aggregator, into a TrexHive account. The fare is ours; what we pay the organisation that runs your trek is a matter between them and us, and it does not change what you have paid for or what you are owed if the departure is cancelled.
Who we are. TrexHive is a brand of Krishna Developers, a sole proprietorship of Harshal Madgulkar. Contracting with TrexHive means contracting with that firm, not with the brand.
Insurance. We carry public liability cover in the firm’s name, and every organisation on this platform must hold its own public liability insurance for the treks it runs — checked before it is approved to publish. Neither policy replaces the other: theirs covers the running of the trek, ours covers the platform.
2. Booking
- Everyone on a booking must be 18 or over, including you. We do not take bookings for children, and an organizer may refuse anyone under 18 at the boarding point.
- You must have an account and complete your profile before booking: your name, date of birth, gender, mobile number and home city.
- A booking holds up to 7 seats. Larger groups book more than once, or contact the organizer.
- You provide the name, age, gender and phone of every trekker on the booking, and you confirm you are authorised to give us those details.
- A booking is confirmed when payment succeeds. The confirmation email and the ticket PDF are the record.
- Seats are held per departure city. A departure running coaches from more than one city counts capacity separately for each.
3. Prices
- Prices are per person, shown in Indian Rupees, and include what the trek listing says they include.
- Where a trek departs from more than one city, each city has its own price — a coach that travels further costs more.
- The price you see at checkout is the price you pay.
Every price includes GST, and there is no separate platform fee. The figure on the trek is the figure you pay: no service charge, no booking fee, no convenience fee added at checkout. Our commission comes out of that same amount and is a matter between us and the organizer — it is not added to your fare.
You get a tax invoice for every booking, downloadable from the booking itself alongside your ticket. It is issued by TrexHive, because we sell you the trek in our own name — see §1 — and it shows the GST inside the price you paid rather than on top of it. Which tax applies depends on which state you are in, so your billing address decides it: we ask for it once, before your first booking, and cannot take a booking without it.
An invoice is issued when you pay and is not reissued afterwards — a document already in somebody’s hands is not rewritten. If you need it in a business’s name, set the billing address before you book.
4. Cancellation and refunds
What you get back depends on when you cancel and on who cancelled. The applicable row is shown to you before you pay and printed on your ticket.
If you cancel
| When you cancel | Money back | As credit |
|---|---|---|
| 7 days or more before departure | 80% | 85% |
| 4 to 7 days before departure | 60% | 65% |
| 2 to 4 days before departure | 40% | 45% |
| 1 to 2 days before departure | 20% | 25% |
| Under 24 hours, or not boarding | nothing | nothing |
You can cancel right up until the departure starts. There is no cut-off some hours beforehand. Once the organizer marks the departure as running you can no longer cancel here, and the seat is counted as travelling whether or not you board — but until that moment the button is there, and using it is always better than simply not arriving.
Credits instead of cash. Every row offers 5 percentage points more if you take it as credit. Credits last 30 days from the day you cancel, are used automatically on your next booking, and cannot be transferred or exchanged for cash. There is no minimum. How credits work.
Refunds reach you within 7 working days, to the account you paid from. We start it the day you cancel; the rest is your bank.
If you do not travel on a booking you kept
Not turning up costs you the fare, and nothing more. A seat you did not cancel is a seat that went with the coach: the trek ran, it was held for you, and there is no refund for it. That is the same outcome as cancelling on the day, which the table above already sets out.
The organizer keeps a record of who was on the departure — a roll call, for their own operations and ours. It is not a charge, a penalty or a mark against you and it changes nothing about your booking or your money, so we do not email you about it and it does not appear on your ticket.
If the organizer cancels
You are refunded in full, in cash, whether they call the departure off in advance, abandon it for weather or a forest-department closure, or cut it short once it has started. You are returned to the boarding point you were picked up from. A departure that does not happen, or does not finish, is not something you part-pay for.
Some other situations
- Booking for more than one person. You can cancel some of your party without cancelling the booking. Each seat is refunded at its own price against the table above, and the trekkers still coming keep their seats.
- If you paid with credits. Your refund is worked out on the full fare, not on the part you paid in money — but a refund never returns more cash than you actually paid, so the rest stops there. Credits you spend on a booking you cancel are spent.
- Unless the cancellation was not yours. If the organizer calls the departure off or abandons it, you are put back where you started: the money returns to your bank and the credits you had spent are given back as credits.
- Turned away at the start. A traveller refused at the boarding point for being unfit or intoxicated is treated as not having boarded, and is not refunded. Where practical the organizer will return them to their boarding point, but that is their judgement on the day.
- Dates never move. An organizer who cannot run a departure cancels it. There is no transfer to another date.
5. What we ask of you
- Give accurate details, especially age and a phone number that reaches each trekker. A trek lead carries them up the mountain and they are the ones that matter on the day.
- Reach your boarding point at the time on your ticket. A coach that waits makes everyone late; one that does not wait leaves you behind, and that is not a cancellation by the organizer.
- Follow the organizer and the trek lead’s instructions during the trek.
- Do not book on behalf of someone who has not agreed to it.
6. Your data
What we collect, why, who we share it with and how long we keep it is set out in the privacy notice, which stands on its own rather than sitting as a clause in here.
The one thing worth repeating: we share trekker details with the organizer running your departure — names, ages, genders and phone numbers. They appear on the manifest a trek lead carries. That is the reason we ask for them.
7. Liability
This section is not yet published.
Trekking carries real risk of injury. What TrexHive is and is not responsible for when an independent organizer runs a trek badly is the clause that matters most here, and it is being written with a lawyer rather than adapted from a template. Nothing on this page limits any right you have under the Consumer Protection Act 2019 or the Consumer Protection (E-Commerce) Rules 2020.
8. Changes to these terms
The terms in force on the day you booked govern that booking. A change never applies backwards to a booking already made.
Changes are published on this page with the date they take effect, shown at the top. For now that is the only notice given — there is no email when the terms change, and you are not asked to re-accept. Once notification preferences ship we will email you about changes of this kind, alongside reminders and offers, each of which you will be able to turn off separately.
